ChatGPT. Turn information into work.

Many tasks get stuck at combining, checking and handing over information rather than writing the first draft. We design ChatGPT workflows around that work and the usable output it needs to produce.

The essential answer

ChatGPT can serve as a workspace for research, drafting and analysis. Work extends use to multi-step tasks with files and approved tools. Clear sources, the right execution location and review of the finished output are decisive.

01 / FIT

A good fit when

  • information from several approved sources must be combined
  • analysis and reusable files need to be produced together
  • a team understands its recurring tasks and review criteria

02 / LIMITS

Not the first choice when

  • inputs are neither approved nor professionally understood
  • external actions would lack defined accountability
  • a predictable standard feature already solves the problem

From assignment to usable output

The official Work introduction recommends tasks with a clear objective, sources and a reviewable output. We translate that into an assignment: which recipient needs which file, in what condition and by when? This avoids producing many answers while leaving the actual follow-through unchanged for employees.

Local and cloud execution have different access

A cloud task does not inherit local files or browser logins from the device. Local execution can use permitted device resources; relevant content may still be sent to OpenAI services. Local therefore does not mean fully offline processing. Select and document the execution location according to the pilot’s sources, tools and organisational rules.

Check files, plugins and identities explicitly

Library, external file stores and multiple connected accounts broaden the possible sources. Every task therefore needs the correct identity: who owns the file, which account supplies it, and who may see the result? ChatGPT for Word brings editing into the existing document interface; availability does not replace approval by the responsible administrators. Existing custom GPTs also need review of the announced transition to plugins, particularly actions and sharing settings that do not transfer automatically.

Example: turn notes into a reviewable briefing

A team provides approved project status, meeting notes and a fixed briefing template. ChatGPT separates facts, risks and open decisions. The owner checks every commitment and supplies missing information. Assess the research and rework still required before acceptance. The number of generated pages is not a suitable success measure.

Stabilise the workflow before expanding

The AI System Check examines frequent hand-offs and chooses a bounded starting point. Implementation can cover accounts, source organisation, templates, team rules and acceptance criteria. When a workflow needs an automated action, test that action separately. Use then expands through evidenced improvements to work rather than ever more unreviewed apps.
